{"id":1372115,"date":"2022-04-29T09:00:16","date_gmt":"2022-04-29T09:00:16","guid":{"rendered":"https:\/\/www.collaboris.com\/?p=1372115"},"modified":"2022-08-09T14:58:46","modified_gmt":"2022-08-09T14:58:46","slug":"sharepoint-document-reading-dashboard-power-bi","status":"publish","type":"post","link":"https:\/\/www.collaboris.com\/sharepoint-document-reading-dashboard-power-bi\/","title":{"rendered":"SharePoint Document Reading Dashboard for Power BI"},"content":{"rendered":"<h1 style=\"\">Rich SharePoint content insights with DocRead and Power BI<\/h1>\n<p><a href=\"\/products\/docread\" target=\"_blank\" style=\"outline: none;\" rel=\"noopener\"><span data-preserver-spaces=\"true\">DocRead is an add-on for SharePoint<\/span><\/a><span data-preserver-spaces=\"true\"> that allows you to target and track content to the right users in your organization.<\/span><\/p>\n<p style=\"\"><span data-preserver-spaces=\"true\">DocRead comes with a report suite that is accessed from the DocRead admin pages inside SharePoint. Whilst powerful out of the box, it\u2019s impossible for the suite to cover more customized reporting requirements. Also, because the reporting suite runs inside of SharePoint web pages (with no dedicated reporting engine) it can struggle with large data sets containing hundreds of thousands of rows.<\/span><\/p>\n<p><span data-preserver-spaces=\"true\">In this post we are going to show how you can use Power BI to create a \u201cDocument Reading Dashboard\u201d using the DocRead data. This dashboard can be used to show the status of the reading tasks associated with a specific document (these tasks are automatically generated, and managed by DocRead ).<\/span><\/p>\n<p><span data-preserver-spaces=\"true\">With its own dedicated reporting engine (<\/span><a href=\"https:\/\/data-mozart.com\/vertipaq-brain-muscles-behind-power-bi\/\" target=\"_blank\" style=\"outline: none;\" rel=\"noopener\"><span data-preserver-spaces=\"true\">VertiPaq &#8211; \u201cBrains &amp; Muscles\u201d behind Power BI<\/span><\/a><span data-preserver-spaces=\"true\">), Power BI has no problem working with large data sets. When combined with the rich data created by DocRead, it allows you to create beautiful and powerful reports giving insights about how your SharePoint content is being targeted, read and acknowledged by your users. These reports can also be used to demonstrate to regulators how you are communicating, targeting and tracking your Policies, Procedures (and any other important content) and thus ensuring that your employees remain compliant with them.<\/span><\/p>\n<p><span data-preserver-spaces=\"true\">The \u201cDocument Reading Dashboard\u201c that we are going to build in this post will look like this:<\/span><\/p>\n<p><span><a href=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2022\/05\/DocRead-Document-Reading-Dashboard.png\" target=\"_blank\" rel=\"noopener\"><img decoding=\"async\" alt=\"\" data-id=\"1372203\" width=\"1080\" data-init-width=\"1124\" height=\"605\" data-init-height=\"630\" title=\"DocRead Document Reading Dashboard\" loading=\"lazy\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2022\/05\/DocRead-Document-Reading-Dashboard.png?_t=1651583559\" data-link-wrap=\"true\" data-width=\"1080\" data-height=\"605\" style=\"\"><\/a><\/span><\/p>\n<p>The dashboard above uses the standard data view called &#8220;Readership.vwTaskInfo&#8221; available in the DocRead database (<a href=\"\/advanced-docread-reporting-options\/\" target=\"_blank\" style=\"outline: none;\" rel=\"noopener\">find more information here<\/a>). It contains a slicer at the top of the page that allows you to select a specific document. The table then shows a list of all employees who need to read that document and the date they did so. If the employee has not completed their reading task, then this will be shown as either overdue (if the due date has passed) or assigned.&nbsp;<\/p>\n<p>The visualizations on the left include:<\/p>\n<ul>\n<li style=\"\">Gauge showing the proportion of completed tasks compared to the total number of tasks.<\/li>\n<li style=\"\">Donut chart showing the number or reading tasks by status (assigned, completed or overdue) and their proportionate percentages.<\/li>\n<li style=\"\">Card displaying the latest due date. Once this date has been reached, and assuming everyone who needs to read it has done so, it can be archived.<\/li>\n<\/ul>\n<h2 style=\"\">Table<\/h2>\n<p>1) Select the table visualization. This will add a table onto your report canvas. Move and resize it to the right of your report page.<\/p>\n<p><span><img decoding=\"async\" alt=\"Image showing the selection of a table visualization\" data-id=\"1372128\" width=\"180\" data-init-width=\"180\" height=\"216\" data-init-height=\"216\" title=\"table visualization\" loading=\"lazy\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2022\/04\/table-visualization.jpg?_t=1651159964\" data-link-wrap=\"true\" data-width=\"180\" data-height=\"216\"><\/span><\/p>\n<p>2) From the Readership vwTaskInfo table, select &#8216;UserPreferredName&#8217;, &#8216;ReadershipType&#8217;, &#8216;AudienceName&#8217;, &#8216;CompletionDate&#8217;, &#8216;DueDate&#8217; and &#8216;RealStatus&#8217; or click and drag them into the Slicer Field. Please refer to <a href=\"https:\/\/www.collaboris.com\/using-an-if-statement-in-power-bi-with-a-boolean-value\/\" style=\"outline: none;\" target=\"_blank\" rel=\"noopener\">this post<\/a> if you haven&#8217;t created a &#8216;RealStatus&#8217; field.<\/p>\n<p>3) They will appear in the report table in the order they are shown. This will add a slicer onto your report canvas. Also select &#8216;RealStatus&#8217; and drag it into the Maximum value field. Expand the &#8216;Data Colors&#8217; option and amend the display colors to your preference. I used green for completed tasks, red for overdue tasks and amber for tasks that have been assigned but are not overdue. Due dates can differ because of <a href=\"https:\/\/www.collaboris.com\/products\/docread\/docread-smart-move\/\" style=\"outline: none;\" target=\"_blank\" rel=\"noopener\">DocRead&#8217;s Smart Move feature<\/a> which will automatically create tasks for new employees when they join the organization. &nbsp;Select the card visualization.<\/p>\n<p><span><img decoding=\"async\" alt=\"Image showing the selection of a card visualization\" data-id=\"1372123\" width=\"180\" data-init-width=\"180\" height=\"216\" data-init-height=\"216\" title=\"card visualization\" loading=\"lazy\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2022\/04\/card-visualisation.jpg?_t=1651157029\" data-link-wrap=\"true\" data-width=\"180\" data-height=\"216\"><\/span><\/p>\n<p>2) From the &#8216;Readership vwTaskInfo&#8217; table, select &#8216;DueDate&#8217; and ensure it is recorded in the Fields option. This value defaulted to Earliest Due Date, however I want to know when the last due date is. This will give me an idea of when the compliance task is likely to be completed by everyone.<\/p>\n<p><span><img decoding=\"async\" alt=\"Image showing how to select latest due date\" data-id=\"1372156\" width=\"331\" data-init-width=\"331\" height=\"241\" data-init-height=\"241\" title=\"select latest due date\" loading=\"lazy\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2022\/04\/select-latest-due-date.jpg?_t=1651232777\" data-link-wrap=\"true\" data-width=\"331\" data-height=\"241\"><\/span><\/p>\n<p>3) I also chose to turn on the Title options for my visualizations.
