{"id":405,"date":"2014-02-10T14:18:21","date_gmt":"2014-02-10T14:18:21","guid":{"rendered":"http:\/\/collaboriscom.wpengine.com\/?p=405"},"modified":"2024-04-10T10:35:41","modified_gmt":"2024-04-10T10:35:41","slug":"what-happens-when-an-audience-is-removed-from-a-docread-configured-document","status":"publish","type":"post","link":"https:\/\/www.collaboris.com\/what-happens-when-an-audience-is-removed-from-a-docread-configured-document\/","title":{"rendered":"What happens when an audience is removed from a DocRead configured document?"},"content":{"rendered":"<\/p>\n<h1>What happens when an audience is removed from a DocRead configured document?<\/h1>\n<p><strong>Note:&nbsp;<\/strong>The information in this post relates to DocRead for <strong>on-premises SharePoint only<\/strong><strong>.<\/strong>&nbsp;<\/p>\n<p>This blog post will explain what happens to tasks and reading receipts when a SharePoint Group or SharePoint Global Audience is removed from a previously configured document in <a href=\"\/products\/docread\/\">DocRead for SharePoint<\/a>.<\/p>\n<p>Let&#8217;s assumed a document is already configured to be sent to a specific group of users. Each user within the group has a DocRead task to read the document by a deadline. To see how this is configured &#8211; the &#8216;edit properties&#8217; window as shown below:<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/document-assigned-to-a-group-of-users.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/document-assigned-to-a-group-of-users.jpg\" alt=\"document-assigned-to-a-group-of-users\" width=\"614\" height=\"474\" \/><\/a><\/p>\n<p>In the example above, individual tasks are then assigned to all users who are members of the &#8216;All United Staff&#8217; group.<\/p>\n<p>Once assigned, those individuals will then be able to view and confirm the task within their reading list (a DocRead web part placed on the intranet site)<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/my-reading-list-1.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/my-reading-list-1.jpg\" alt=\"my-reading-list (1)\" width=\"383\" height=\"247\" \/><\/a><\/p>\n<p>DocRead reports monitor who has and has not completed the tasks&#8230;<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/document-reading-report-1.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/document-reading-report-1.jpg\" alt=\"document-reading-report (1)\" width=\"975\" height=\"599\" \/><\/a><\/p>\n<p>You can see in this report that 14 people have completed the task and 2 (Foya Farrington and Helen) have not.<\/p>\n<p>The current status of the receipts report looks like this:<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/initial-receipts-report-1.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/initial-receipts-report-1.jpg\" alt=\"initial-receipts-report (1)\" width=\"1120\" height=\"736\" \/><\/a><\/p>\n<p>All 14 users who have completed the task are listed with positive receipts (note there is no mention of the 2 people who have not yet completed the task).<\/p>\n<p>Now lets see what happens when we remove the group from this document.<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/remove-audience.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/remove-audience.jpg\" alt=\"remove-audience\" width=\"608\" height=\"64\" \/><\/a><\/p>\n<p>To do this, return to the edit properties page for the item and simply delete the group details. (remember to save the page). Once this is done, let&#8217;s go to\u00a0&#8216;Site Actions &gt; Site Settings&#8217; and select &#8216;Process Reading Tasks&#8217; from the DocRead menu.<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/process-site-reading-tasks-1.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/process-site-reading-tasks-1.jpg\" alt=\"process-site-reading-tasks (1)\" width=\"227\" height=\"133\" \/><\/a><\/p>\n<p>Now, when we go back to the Site Receipts report and filter for this specific task the report still shows the original 14 &#8216;Positive Receipts&#8217; for the people who had completed the task, but now includes <strong>2 new &#8216;Negative Receipts&#8217;<\/strong> for the 2 users who had not completed the task before the group was removed. Receipts are retained indefinitely in this report until you decide to follow the archiving procedure.<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/new-receipts-report.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/new-receipts-report.jpg\" alt=\"new-receipts-report\" width=\"1119\" height=\"786\" \/><\/a><\/p>\n<p>When we look back at the users DocRead web part, you will notice that the task is removed from ALL users reading lists (no one will see a link to the task whether they completed it or not).<\/p>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/foyas-new-task-list.jpg\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/foyas-new-task-list.jpg\" alt=\"foyas-new-task-list\" width=\"379\" height=\"214\" \/><\/a><\/p>\n<p>The item is also removed from the Site Audience report.
