Please try this first on a \u201ctest\u201d or \u201cdevelopment\u201d farm because any changes you make are\u00a0<strong>immediate\u00a0<\/strong>and will\u00a0<strong>affect every e-mail<\/strong>\u00a0(of that type) that gets sent out. It is also important not to amend any other tables directly (or amend the schema of the DocRead database in any way), as these changes will be lost during an upgrade. We plan to make a management screen for this in a subsequent release of DocRead.<\/p>\n<p>Steps to amend the template :<\/p>\n<ul>\n<li>In \u201cSQL Server Management Studio\u201d navigate to your DocRead database. (To find out what your database is called, look at the \u2018Database Settings\u2019 under the \u2018DocRead Database Name\u2019 (Highlighted below)<\/li>\n<\/ul>\n<div><a href=\"\/wp-content\/uploads\/2015\/07\/416-1.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-542 size-full\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-1.png\" alt=\"416-1\" width=\"550\" height=\"269\" srcset=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-1.png 550w, https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-1-300x147.png 300w\" sizes=\"auto, (max-width: 550px) 100vw, 550px\" \/><\/a><\/div>\n<div><\/div>\n<ul>\n<li>Find the database table called \u2018<strong>Readership.EmailTemplate\u2019<\/strong>\u00a0and select \u2018<strong>Edit Top 200 Rows<\/strong>\u2019<\/li>\n<\/ul>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/416-2.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-547 size-full\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-2.png\" alt=\"416-2\" width=\"398\" height=\"309\" srcset=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-2.png 398w, https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-2-300x233.png 300w\" sizes=\"auto, (max-width: 398px) 100vw, 398px\" \/><\/a><\/p>\n<p>The table contains columns that map to the email. As follows :<\/p>\n<ul>\n<li><strong>Title<\/strong>.\u00a0<strong>Important : don\u2019t change this!<\/strong>\u00a0This is used by DocRead to identify the correct email to send.<\/li>\n<li><strong>Subject<\/strong>. Appears on the subject line of the email.<\/li>\n<li><strong>Description<\/strong>. Not used in this release.<\/li>\n<li><strong>Body<\/strong>. The main body of the e-mail.<\/li>\n<\/ul>\n<p><a href=\"\/wp-content\/uploads\/2015\/07\/416-3.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-549 size-full\" src=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-3.png\" alt=\"416-3\" width=\"550\" height=\"128\" srcset=\"https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-3.png 550w, https:\/\/www.collaboris.com\/wp-content\/uploads\/2015\/07\/416-3-300x70.png 300w\" sizes=\"auto, (max-width: 550px) 100vw, 550px\" \/><\/a><\/p>\n<ul>\n<li>To edit a particular type of email, click into the appropriate row and change either the \u2018<strong>Subject<\/strong>\u2019 and\/or the \u2018<strong>Body<\/strong>\u2019. Once you have made the necessary changes, click out of the row. At this point your changes will be saved and are effectively live.<\/li>\n<li>The \u2018<strong>Body<\/strong>\u2019 column should contain HTML. It is advisable to make a copy of the existing HTML and amend that, with your favourite HTML E-mail editor. You can also embed a number of tokens that will be replaced with the real value when the email is created. (I haven\u2019t sent you the HTML for the newer, shorter version. If you require this \u2013 just shout).<\/li>\n<\/ul>\n<p>The tokens are fairly self-explanatory, as follows :<\/p>\n<ol>\n<li>{TaskPanelUrl}\u00a0<em>(The url to open the task information panel for the document, so the user can confirm)<\/em><\/li>\n<li>{CreationDate}<\/li>\n<li>{DueDate}<\/li>\n<li>{Period}<\/li>\n<li>{DocumentVersion}<\/li>\n<li>{CompletionDate}<\/li>\n<li>{CompanyName}<\/li>\n<li>{TaskStatus}<\/li>\n<li>{DocumentName}<\/li>\n<li>{DocumentId}<\/li>\n<li>{DocumentTitle}<\/li>\n<li>{UserName}<\/li>\n<li>{DocumentUrl}<\/li>\n<li>{ReadershipType} (Required \/ Recommended)<\/li>\n<li>{ReceiptUrl}<\/li>\n<li>{ChangeComments}\u00a0<em>(If a comments column is registered in the DocRead enabled library, the value typed here will be used).<\/em><\/li>\n<\/ol>\n<ul>\n<li>To test your changes, use DocRead to configure a task to the new status (<strong>assigned<\/strong>,\u00a0<strong>overdue<\/strong>\u00a0or\u00a0<strong>completed<\/strong>), then restart the email service which will cause the email to be sent immediately.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>To amend the e-mails that get sent out with DocRead, follow these instructions.
