{"id":791,"date":"2013-01-15T16:42:17","date_gmt":"2013-01-15T16:42:17","guid":{"rendered":"http:\/\/collaboriscom.wpengine.com\/?p=791"},"modified":"2024-08-29T17:47:27","modified_gmt":"2024-08-29T17:47:27","slug":"manage-employee-acknowledgement-forms-with-docread-and-sharepoint","status":"publish","type":"post","link":"https:\/\/www.collaboris.com\/manage-employee-acknowledgement-forms-with-docread-and-sharepoint\/","title":{"rendered":"Manage employee acknowledgement forms with DocRead and SharePoint"},"content":{"rendered":"<\/p>\n<h1 style=\"\">Manage employee acknowledgement forms with DocRead and SharePoint<\/h1>\n<p>If you are an organization that needs to distribute and track policies, documents, procedures, manuals to your employees, then you will know that this can be an onerous and time consuming task.<\/p>\n<p>For example, if as part of an on-boarding process you require a new starter to read and acknowledge your \u2018<strong>Code of Conduct Policy<\/strong>\u2019 or your \u2018<strong>Occupational Health and Safety<\/strong>\u2019 document then you will probably follow a process like this:<\/p>\n<ol>\n<li style=\"\"><span>1<\/span><span style=\"line-height: 2em !important;\">Navigate to the shared drive and find the latest copy of the policy and print it.<\/span><\/li>\n<li style=\"\"><span>2<\/span><span style=\"\">Find an \u2018<strong>Employee Acknowledgement Form<\/strong>\u2019 and print it.<\/span><\/li>\n<li style=\"\"><span>3<\/span><span style=\"line-height: 2em !important;\">Put both documents in an employee binder and hand to the employee on their first day.<\/span><\/li>\n<li style=\"\"><span>4<\/span><span style=\"line-height: 2em !important;\">Instruct the employee to read the documents, sign the acknowledgement form and send back to you, ideally within 4 weeks.<\/span><\/li>\n<li style=\"\"><span>5<\/span><span style=\"line-height: 2em !important;\">Add a reminder in Outlook to chase the employee in 4 weeks time.<\/span><\/li>\n<\/ol>\n<h3>So, what are the problems?<\/h3>\n<ol>\n<li style=\"\"><span>1<\/span><span style=\"\">The employee won\u2019t do it on time, so you need to escalate to their Line manager. (This also requires you to add another reminder to chase the line manager in 1 week).<\/span><\/li>\n<li style=\"\"><span>2<\/span><span style=\"font-size: 17px !important; line-height: 2em !important;\">If you store your acknowledgements digitally, you need to scan the signed paper copy in and add it to the employee record.<\/span><\/li>\n<li style=\"\"><span>3<\/span><span style=\"font-size: 17px !important; line-height: 2em !important;\">The employee may lose the handbook \u2013 meaning you need to print and send it out again<\/span><\/li>\n<li style=\"\"><span>4<\/span><span style=\"font-size: 17px !important; line-height: 2em !important;\">The document can substantially change (meaning not only that new employee needs to acknowledge it, but all employees). You now need to send it out to all staff and track all of the responses.<\/span><\/li>\n<li style=\"\"><span>5<\/span><span style=\"font-size: 17px !important; line-height: 2em !important;\">It&#8217;s a needless waste of paper<\/span><\/li>\n<li style=\"\"><span>6<\/span><span style=\"font-size: 17px !important; line-height: 2em !important;\">How do you know the employee actually understood what was in the document?
